Assistant to the Senior Management Committee
Full TimeRoles and Responsibilities:
The Assistant to the Senior Management Committee position reports to the Assistant to the President and provides a range of administrative support and executive secretarial services, often of a sensitive and confidential nature, to the Senior Management Committee. The Senior Management Committee consists of the President, Vice President and Secretary, and the Director of Human Resources and Program Management.
The position has broad responsibilities in support of effective Board operations and facilities management. These responsibilities require extensive interaction with the Foundation's Trustees and its vendors, respectively. The position also plans, coordinates and supports high‐level events for the Board and Foundation staff.
In providing administrative support to the members of the Senior Management Committee, the position works closely with other members of the administrative team to support the effectiveness of these executives and of the Foundation overall. In addition, the position has specific responsibility for the management of certain financial and human resources data and of documentation related to the Foundation's international grantmaking activities.
Qualifications:
The Assistant to the Senior Management Committee position requires a bright, highly‐motivated and well‐organized individual with a bachelor’s degree or equivalent and 5‐7 years of related work experience, including executive‐level administrative or secretarial support as well as involvement with facilities management and/or office operations. Work experience in a foundation, academic, or nonprofit setting is desirable but not required.
Candidates must have strong administrative, project management, problem solving and analytical skills, as well as knowledge of facilities management and administrative procedures. The successful candidate must have the ability to effectively multitask in carrying out the varied responsibilities of the role and supporting the diverse needs and duties of the Senior Management Committee.
The position also requires very strong oral communication and interpersonal skills, with the ability to interact and communicate effectively with diverse audiences and personalities and with a high degree of tact and discretion. Strong organization and written communication skills are also required.
Computer skills must include a high level of proficiency in common document production and information management applications, including Word 2007, PowerPoint, Excel, Access, and Acrobat, familiarity with research applications including Google Scholar and ISI/Web of Science, and the ability to learn and utilize additional applications.
