Roles & Responsibilities
The Alfred P. Sloan Foundation seeks a highly motivated, well‐organized, and well‐trained individual for the position of Program Assistant based in our offices at Rockefeller Center in New York. The Program Assistant provides essential, high‐level administrative support to the Program Director leading the Working Longer Program, which is focused on aging and work; and, as needed, to other Foundation programs and functions.

The Program Assistant performs complex and diverse duties to support the short‐, mid‐, and long‐range plans of assigned program area(s) with little or no supervision, and all aspects of program administration. The incumbent anticipates, initiates, pro‐actively manages, and provides follow‐up on all activities related to specific program area(s) and the Foundation’s grants process. The position requires an in‐depth knowledge of current office technologies and the motivation to provide the highest level of administrative support for his or her assigned program area(s). The incumbent will learn the Foundation’s current processes and procedures, and become an integral part of the initiatives to improve these processes and procedures.

The Program Assistant will be a self‐starter, expected to initiate, plan, and implement projects using adequate lead‐times, and meeting deadlines alongside planning and undertaking process improvement for the office. He or she will initiate and manage all scheduling, travel, logistics, and meeting requirements for a highly active Program Director. The incumbent will be responsible for managing the office of the Program Director in his or her absence, filtering calls, correspondence, and general inquiries related to the program area and day to day activities of the office. Some projects will require supervising or being supervised by peer groups and other colleagues at the Foundation to implement organizational system improvement projects.

Qualifications:
The Program Assistant requires a high level of professionalism, maturity, initiative, and judgment. The successful candidate must have excellent organizational, problem‐solving, interpersonal, and communication skills, a pleasant and professional work ethic, and must enjoy working in a supportive, administrative role. Technical skills must include routine office software (Windows 7, Microsoft Office, Adobe Acrobat Professional, etc.), as well as the ability to independently learn and utilize additional applications. The position requires a bachelor’s degree plus 5+ years of work experience. Work experience as an executive assistant and/or in a foundation, non‐profit, or academic setting is desirable but not required.
